How much does it cost to hire an ice cream van in London?

The short answer

There is no single price for ice cream van hire in London, because a fair quote is built around your event. The cost is driven by location and travel, serving hours, guest numbers, menu, date and how guests pay. Send those details together and you can get an accurate, tailored quote quickly.

Why is there no standard price for ice cream van hire?

Two events that look alike on paper can cost very different amounts to serve. A two-hour drinks reception for eighty wedding guests in Croydon is a different job from a full day at a school fete in Hertfordshire with several hundred children, even if both are on a Saturday in July. The van, the staff, the stock and the time away from other bookings all change.

That is why Kreamy Delights quotes per event rather than publishing a rate card. A flat price would either overcharge the small booking or undercharge the large one, and the difference usually gets made up somewhere you did not expect. A tailored quote tells you exactly what you are paying for, and it lets you adjust the plan (fewer hours, a tighter menu, a different payment model) to fit your budget.

What affects the cost of hiring an ice cream van?

Most quotes come down to the same handful of factors. None of them is a mystery, and once you know what they are you can see where your own event sits and where there is room to move. The list below is roughly in order of how much each one tends to shape the final figure.

  • Location and travel time from our base in South Croydon
  • How many hours the van is serving, plus arrival and setup time
  • Expected guest numbers and how quickly they will arrive
  • Menu choice: classic Mr. Whippy cones, premium waffle cones, Knickerbocker Glories, lollies, slush
  • Date and season: summer Saturdays and bank holidays are in highest demand
  • Payment model: hosted for guests, guests pay, or prepaid tokens
  • Site access, parking position and any venue requirements
  • The number of vans needed for a large crowd

How do travel and location change a quote?

Travel is more than mileage. A van crossing London on a weekday has to allow for traffic, and an event in central London may involve tighter access, loading restrictions or a specific arrival slot set by the venue. The further from South Croydon, the more of the day the van and team spend on the road rather than serving, and that time is part of the cost.

Our vans are ULEZ compliant, so there are no ULEZ charges to pass on anywhere in London. For Home Counties events in Surrey, Kent, Essex, Hertfordshire, Berkshire, Buckinghamshire or Sussex, give us the full postcode rather than the town name. A country house wedding venue down a long private drive is a different journey from the high street, and the postcode lets us plan it properly.

Hosted, pay-per-guest or guests pay: which model suits you?

How the ice cream is paid for changes the quote more than people expect. With a hosted booking, you cover the cost and guests help themselves, which is what most weddings and corporate events choose. A pay-per-guest approach ties the cost to the number of people you expect to serve. With guests paying at the van, the host may pay little or nothing, but the van needs enough footfall to make the visit work.

Schools and community events often sit in between, using prepaid tokens so pupils or visitors do not handle cash at the hatch. Tell us which model you have in mind when you ask for a quote. If you are unsure, describe the event and we will explain which approach usually works best for that kind of crowd.

  • Hosted: you pay, guests are served freely within the agreed time
  • Pay-per-guest: cost planned around the number of guests served
  • Guests pay: visitors buy their own, suited to busy public events
  • Prepaid tokens: tokens bought in advance and swapped at the van

What should an ice cream van hire quote include?

A good quote spells out what you are getting so there are no surprises on the day. If a quote is one line with a number on it, ask questions before you pay a deposit. You want to know when the van arrives, how long it serves, who is serving, what is on the menu and what documents come with it.

Every Kreamy Delights booking comes with trained staff (Level 2 Hygiene Certified), a 5 Star Food Hygiene rating, £5M Public Liability insurance, and a risk assessment and COSHH documentation if your venue or council asks for them. Those are worth checking on any quote you compare, because a cheaper van without them can cost you the booking if the venue refuses it.

  • Travel to and from your venue
  • Arrival time and setup before serving starts
  • Exact serving hours, and what happens if you want to extend
  • Number of staff on the van
  • The menu, and whether toppings and sauces are included
  • Public liability insurance and hygiene documentation
  • Deposit amount and when the balance is due

How do you compare ice cream van quotes fairly?

Put quotes side by side on the same terms. Check the serving hours are the same, that one is not quoting for a shorter window, and that both include travel. Compare the menus line by line: a basic cone is not the same offer as a choice of premium waffle cones and Knickerbocker Glories. Then check the paperwork, since an uninsured or unregistered trader is a risk to you and to the venue.

Look at the van itself too. Most conventional ice cream vans run a diesel engine or generator to keep the freezers and soft serve machine going, which means fumes and noise beside your guests. A battery-powered van, with no engine or generator running while it serves, can park closer to people, trade near speeches and, where the venue's own access and safety rules allow, in some indoor and covered spaces. If those things matter to your event, they belong in the comparison.

What details should you send for a fast, accurate quote?

The quickest quotes come from enquiries that answer the obvious questions upfront. If we have to go back and forth by email to find the postcode and the timings, the quote takes days rather than hours. Send the list below by WhatsApp on 020 8088 5431, by email to [email protected], or through our online enquiry form and we can usually give you a clear answer straight away.

  • Event date and the times you want the van serving
  • Full venue postcode, and whether it is indoors or outdoors
  • Type of event and roughly how many guests, including children
  • How guests will pay: hosted, guests pay or tokens
  • Any menu favourites, for example Knickerbocker Glories
  • Parking position and access notes, such as height barriers or soft ground
  • Any documents your venue needs from us

When should you book to secure your date?

Book as soon as your date and venue are fixed. Summer weekends, school fete season and the main wedding months fill first, and bank holidays go early. A small deposit secures the date, with the balance settled closer to the event, so there is little reason to wait once you are sure.

Last-minute enquiries are still worth making. With four vans in the fleet we can sometimes fit in a short-notice booking, especially midweek. If the weather turns hot and you decide on a Thursday that you want ice cream at Saturday's party, send the details anyway and we will tell you honestly whether we can do it.

Questions people ask

Why won't you give me a price without event details?
Because any number we gave would be a guess. Travel, hours, guest numbers, menu and payment model all change the cost, and a figure without those details is likely to be wrong in one direction or the other. Send the date, postcode, timings and rough guest numbers and we can give you a real quote, usually quickly.
Is hiring an ice cream van cheaper if guests pay?
It can be for the host, because guests cover what they buy at the hatch. It only works when there is enough footfall, which is why guests-pay suits public events, fetes and festivals more than private parties. For weddings and corporate events most hosts prefer a hosted booking so nobody is reaching for a wallet.
Do battery-powered ice cream vans cost more to hire?
Our quotes are based on your event, not on the type of van. What battery-powered serving does change is what is possible: no fumes in the queue while we serve, and the option to park close to guests or, subject to the venue's own access and safety rules, serve at some indoor and covered venues. Our vans are also ULEZ compliant, so there are no ULEZ charges in London. Those benefits often save organisers problems with venues that restrict engines.
Do I have to pay a deposit?
Yes. A small deposit secures your date and takes it off the calendar for other enquiries. The balance is settled closer to the event. Your quote will set out the deposit and when the remainder is due, so you know exactly where you stand before you commit.
Can I change the hours or menu after booking?
Usually, yes, as long as you let us know in good time. Extending the serving window, adding a second van for a bigger crowd or changing the menu may change the quote, and we will confirm any difference before the day. Get in touch as soon as your plans move so we can keep the van and stock right.
