Corporate event planning comes with constraints that a birthday party never has. Facilities teams want insurance certificates and risk assessments before anyone arrives. Our four vans are ULEZ compliant anywhere in London, and they are fully electric while serving: the freezers and soft-serve machine run on batteries, so there is no idling engine outside reception and no fumes near open office windows. We hold £5M public liability insurance, a 5 Star Food Hygiene rating, a COSHH assessment and a written Health and Safety policy, and we send documents to your facilities team before the day.
We have worked with brands including Red Bull and Mercedes-AMG, so we understand that the brief is often about more than ice cream. It might be a thank-you to staff after a busy quarter, a client day on a terrace, or a family day for employees and their children. We tailor the menu, the serving time and the set-up to whatever the event is for.

Talk to facilities early
Most office sites and business parks have rules about vehicle access, delivery times and where contractors can park. Loop in facilities or building management when you book, and ask what documents they need from us so there are no surprises at the gate.

Time it around the working day
For staff treats, mid-afternoon tends to work best, after lunch and before people start heading home. For client hospitality, serving alongside drinks or after a presentation keeps the van part of the event rather than a distraction from it.

Host it or use tokens
Most companies host the van so staff simply order. If you want to control quantities or include the ice cream within a wider package, we can work to a prepaid token system. Agree the approach with us beforehand.

Think about numbers and timing
A large headcount arriving at once makes a queue. If you can stagger departments or floors, service is calmer and people spend less time away from their desks. Tell us your expected numbers and we will plan around them.

Branding and messaging
If the event marks a milestone, a product or a campaign, tell us. We can discuss what is possible around the van, such as positioning it next to your own signage, so it sits naturally within the event.

- Can you send insurance and risk assessment documents to our facilities team?
- Yes. We hold £5M public liability insurance, a 5 Star Food Hygiene rating, a COSHH assessment and a Health and Safety policy, and we can prepare a risk assessment for your site. Send us the name and email of the person who needs them and we will forward documents ahead of the event.
- Can the van serve inside a building or covered courtyard?
- With nothing running while we serve, some indoor and covered venues can accept the van, subject to their own access and safety rules. It depends on access, floor loading, ceiling height and the building's own rules. Talk to your facilities team and to us, and we will work out what is realistic.
- How far ahead should we book for a summer staff day?
- Summer weekdays in June and July book up, especially around the end of the school year when corporate and school events overlap. Booking a couple of months ahead gives you the best choice of dates. A small deposit secures the date once you are happy with the quote.
- What affects the cost of a corporate booking?
- Location, the number of hours, guest numbers, the menu you choose and the date all play a part. Sites with complicated access or long waits at security can also make a difference. We quote each event individually, so call, WhatsApp or use the contact form for a tailored quote.
