Ice cream van hire for school fetes

A battery-powered ice cream van, with no fumes while we serve, on the playground for your summer fair, Christmas fair or PTA fundraiser.

The school fete is usually run by a PTA committee juggling cake stalls, tombolas, raffles and a bouncy castle, all in a few hours on a Saturday or after school on a Friday. The ice cream van is often one of the stalls families look for first. Done well, it brings in a queue that walks past every other stall on the way.

Our vans serve on battery power, which matters on a playground. While we serve there is no exhaust near children queueing at hatch height and no engine running beside the classroom windows. We hold a 5 Star Food Hygiene rating and £5M public liability insurance, and we can send the school a risk assessment and COSHH assessment ahead of the day. Many schools want documents on file before any vehicle comes on site.

Most fete committees want the van to help raise money. We are happy to talk through options with you, such as families buying their own ice creams at the van or the PTA selling prepaid tokens on its own stall. Every school is different, so we agree the approach before the date rather than on the day. That way volunteers know exactly what to say when families ask.

Why our vans suit it

  • Safe on the playgroundWith no engine running while we serve, the van can park on a playground or field with children around it, without fumes at their height.
  • Documents for the school officeInsurance, hygiene rating, COSHH assessment and risk assessment can all be sent to the school business manager before the fete.
  • Helps the PTAWe can work to prepaid tokens sold by your committee, which keeps money handling at your stall and makes the van part of the fundraising.
Planning ice cream for school fetesPractical tips

01

Agree where the van enters

School gates, bollards and narrow driveways can be tight. Tell us the access route and arrange for the van to arrive before families do, so it is not driving through a crowd.

02

Choose a payment approach

Families can pay at the van, or the PTA can sell tokens at its own stall. Tokens make it easier to track fundraising and stop children carrying cash to the hatch.

03

Put the van near the action

Position the van where queues will not block other stalls or fire exits but are visible from the main entrance. A shady spot keeps waiting families comfortable.

04

Plan for the rush

The queue builds early and again after any big moment, such as the raffle draw. A short, child-friendly menu keeps it moving.

05

Share allergen information

Families will ask about allergens. We hold full allergen information for the menu and can share it ahead of the fete so the committee can answer questions.

Questions people ask

Can the ice cream van help our PTA raise money?
Yes. The most common approach is for the PTA to sell prepaid tokens at its own stall, which families exchange at the van. We will talk through how fundraising could work for your fete when you get in touch, and agree everything before the day so there is no confusion.
What documents will the school need from you?
Schools usually ask for public liability insurance, a food hygiene rating and a risk assessment. We hold £5M public liability insurance and a 5 Star Food Hygiene rating, and we can provide a COSHH assessment, Health and Safety policy and site-specific risk assessment. We send them to the school office in advance.
Can you come to an after-school fair on a weekday?
Yes, subject to availability. Weekday afternoons in June and July are popular for summer fairs, so book early. Let us know when the school day ends so we can arrive and park before pick-up traffic builds. A short after-school fair suits the van well, as families arrive together.
