Ice cream van hire for sports days

A cool reward at the end of the races, from a battery-powered van that can park by the field without fumes drifting across the track while we serve.

Sports day is hot, loud and long. Children have been sitting on the grass in their house colours since the morning, parents have lined the track with picnic blankets, and teachers are running a timetable of sprints, sack races and relays. By the end, everyone wants something cold. An ice cream van at the edge of the field is the easiest way to finish the day on a high.

Because our vans serve on battery power, we can park close to the field without exhaust drifting over children and spectators. There is no engine running while we serve through the races and no noise to talk over when the results are read out. We hold £5M public liability insurance and a 5 Star Food Hygiene rating, and we send the school our risk assessment before we arrive.

Schools approach the van in two ways. Some host it as a reward and serve every pupil, often with prepaid tokens handed out in class. Others open it to families watching, who pay at the van. Many do both: pupils served first after the last race, then parents and siblings afterwards. Tell us which approach you prefer and we will plan stock, timing and the queue around it.

Why our vans suit it

  • No fumes by the trackWith nothing running underneath while we serve, the van can park close to the field, so children are not walking past exhaust to reach the hatch.
  • Silent while servingNo engine noise while we serve means announcements, starting whistles and results carry without competition from the van.
  • Works with tokensTeachers can hand out prepaid tokens in class so every pupil gets an ice cream and nobody needs money on the field.
Planning ice cream for sports daysPractical tips

01

Serve after the final race

Opening during the races pulls children away from their events. Most schools open the van as the last relay finishes, or during a planned break.

02

Serve a year group at a time

Bring classes or year groups to the van in turn, with their teacher. It keeps the queue short and makes it easy to check every pupil has been served.

03

Keep the menu simple

For a whole school, two or three choices such as a classic cone, a lolly and a slush keep things fast and fair.

04

Have a wet-weather plan

If sports day is postponed, let us know as early as you can. Agree a backup date when you book so we can hold it for you.

05

Check the field access

The van needs a firm route to the edge of the field. Tell us about gates, slopes and any soft ground before the day.

Questions people ask

Can every pupil in the school get an ice cream?
Yes. A hosted booking with prepaid tokens is the easiest way. Teachers hand out a token to each pupil, classes come to the van in turn, and we serve from a short menu. Tell us your pupil numbers so we can plan the service and stock accordingly.
Can parents buy ice creams too?
Yes. Many schools serve pupils first as a hosted reward, then open the van to parents and siblings who pay at the hatch. We can do one or the other, or both, depending on what the school prefers. Card and cash can both be taken at the van.
What happens if sports day is rained off?
Let us know as early as possible. If you agree a backup date when you book, we can hold it for you where availability allows. British weather being what it is, it is well worth having one in the diary.
