Fix the load-in time

Launch venues often have tight windows for vehicle access, sometimes before guests or crew arrive. Tell us the load-in slot and the route in, and we will plan the journey so we are parked and ready well ahead of doors.

Decide where the van sits in the story

Is the van a welcome, a reward after the reveal, or part of the photography set? The answer changes where it should park and when it should open. Share your running order and we will suggest a position.

Talk about branding early

If you want product, signage or a themed menu around the van, raise it at the quote stage so there is time to agree what works. Some ideas need venue approval as well as ours.

Keep the menu tight

A short menu of three or four items keeps service quick and photographs consistent. Knickerbocker Glories and waffle cones are the most photogenic; classic cones are the fastest.

Plan for the crowd size

Give us a realistic guest number and the expected arrival pattern. A launch where everyone arrives at once needs a different approach to one where guests flow through over several hours.

Questions people ask

Can the van work inside a showroom or event space?
With nothing running while we serve, it is sometimes possible, depending on the venue's access, door widths, floor loading and fire rules. Venues make the final call. Tell us the space and we will help you ask the right questions of the venue team before you commit.
Can you match the menu to our product or brand colours?
Within what we carry, often yes. Sherbet cones, slush colours and Knickerbocker Glory flavours give some flexibility on colour. Talk to us at the quote stage about what you have in mind and we will tell you honestly what we can and cannot do.
How early do you arrive before guests?
We plan arrival around the venue's load-in window and the time you want service to start. We set up quickly because there is no generator to rig, but we still allow time to park, check the position and be ready before your first guests walk in.
