Prom is the night students have been talking about for months. Outfits are planned, arrivals are filmed, and every part of the evening ends up on someone's phone. An ice cream van parked outside the venue adds something nobody expects, and it gives students a break from the dance floor when the room gets hot. Prom venues are often hotels, golf clubs, function suites or the school hall itself. Open after the meal
If the prom includes dinner, open the van after the main course or between dinner and dancing. Students are ready for a break from the dance floor, and it does not compete with dessert.

Most committees add the van to the ticket price and hand out a token with each ticket. It keeps things fair and stops students needing cash.

Hotels and function venues often have their own rules about outside caterers and vehicles. Ask the venue before booking, and we will send our documents.

Proms run into the evening. Make sure the spot where the van parks is lit, or tell us so we can plan the position with the venue.

- Will the prom venue allow an ice cream van?
- Many do, but hotels and function suites often have rules about outside caterers and where vehicles can park. Ask the venue early. We can send our insurance certificate, food hygiene rating and risk assessment to help them say yes. A venue that already lets in outside caterers is usually straightforward.
- What time should the van open at a prom?
- After the meal and before the dancing gets going is the most popular slot, or later in the evening when the room is warm. Avoid opening during arrivals, when students are busy with photographs, or during any speeches or awards.
- Can students choose from the full menu?
- You can offer as much or as little of the menu as you like. For a prom, a short list of three or four items, including a Knickerbocker Glory or a waffle cone, keeps service quick while still feeling special.
